  • Maximum of 5 folder levels: Beyond five layers, you risk losing track of files in deep, confusing pathways. The sixth level is reserved solely for files and documents, with no additional folders underneath.
  • Up to 99 folders per level: Numbered from 00 to 99, this helps organize folders logically while maintaining consistency.

For example, here’s how the top-level folders in my Google Drive look:

  • 99 Archive

I typically number folders I access most frequently from 01 to 09 so they stay at the top for quick access, and 99 is always reserved as an archive for files I rarely use but don’t want to delete.

2. Alphabetical Order for Timeless or Reference Files

For documents not bound by time but equally important, I name them so they are sorted alphabetically, e.g.,

4. Reserve a Dedicated Backup Folder

At the top hierarchy level, keep a backups folder for drag-and-drop convenience. This keeps your essential duplicates safe without mixing backup files into your daily workflow.

5. Archive Instead of Delete

Maintain a “99 Archive” folder for files you don’t regularly use but aren’t ready to delete. This keeps active folders clean while ensuring nothing gets lost permanently.
